Privacy Policy

BizPilot ("we", "the Service") is a personal AI assistant for business. This policy explains what we collect, why, and the choices you have. We operate under Jamaica's Data Protection Act 2020 and apply the same standard to users everywhere.

1. What we collect

• Account: your mobile number (your login), a PIN (stored only as a hash), your name, business name and email.
• Business records you create: contacts, invoices, quotations, receipts, expenses, payments, tasks, campaigns, letters and other documents, your logo, and your settings and standing instructions.
• What you say or type to the assistant: messages, voice recordings (transcribed on our servers and then deleted), photos you send (used to read receipts and documents; the image itself is not kept after the request).
• Connected email (optional): if you connect a mailbox we store the address and app password you give us, encrypted at rest, and read messages only when you ask the assistant to (or during a briefing you request). We do not copy your mailbox.
• Payments: card payments are processed by Stripe; we never see or store card numbers.
• Usage: number of requests, pages visited, and logins, for billing and reliability.

2. How we use it

To provide the Service: to do what you ask (write the invoice, log the expense, chase the payment), to send emails you ask us to send, to bill your plan, to keep the Service secure, and to improve it. We do not sell your data and we do not use your business records to advertise to you or anyone else.

3. AI processing

The assistant is powered by third-party large language models (currently Anthropic). The text of your request, relevant business context (such as your open invoices) and any photo you attach are sent to that provider to generate the response, under terms that prohibit the provider from training on your data. Voice is transcribed on our own servers. The assistant can make mistakes — always check figures, dates and documents before you send them.

4. Emails you connect

You can disconnect a mailbox at any time in Settings; we then delete the stored credentials. The assistant treats the content of emails as information, never as instructions. You can tell it to ignore categories of email (for example personal messages or client reports) and it will.

5. Sharing

We share data only with the processors needed to run the Service: our cloud host (Amazon Web Services, US), the AI provider (Anthropic, US), email delivery (Amazon SES), and payments (Stripe). Documents you choose to share by link or email go to the recipients you choose. We disclose data to authorities only where the law requires.

6. Retention and deletion

Your records are kept while your account is active. Completed tasks clear after 7 days; voice recordings and photos are deleted after processing. You may export your data (CSV) at any time from the Money tab. To delete your account and all its data, email us from your account email; we complete deletion within 30 days, except records we must keep for tax or legal reasons.

7. Security

Data is encrypted in transit (HTTPS) and backed up daily. Access is restricted to the people who operate the Service. No system is perfectly secure; keep your PIN private and use the Team feature rather than sharing your login.

8. Your rights

You can access, correct, export or delete your data, object to processing, or complain to the Office of the Information Commissioner (Jamaica) or your local regulator. Contact us at the address above.

9. Children

The Service is for businesses and is not intended for anyone under 18.

10. Changes

We will post changes here and, for material changes, notify you by email.
